Privacy Policy
This Privacy Policy describes how Terbia LLC (“Coligna,” “we,” “us,” or “our”) collects, uses, and shares information about you when you use our Service. By using the Service, you consent to the practices described in this policy.
1. Information We Collect
We collect the following categories of information:
- Account information: Name, email address, and password when you register.
- Workspace data: Projects, clients, team members, documents, time entries, invoices, and other content you create or upload.
- Billing information: Payment method details processed by Stripe (we do not store card numbers).
- Usage data: Pages visited, features used, actions taken, timestamps, and error logs.
- Device and connection data: IP address, browser type, operating system, and referring URLs.
- Communications: Emails and support messages you send us.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service.
- Process transactions and send related information including receipts and invoices.
- Send transactional and service communications (account confirmations, security alerts, onboarding emails).
- Send product updates and early-access announcements to waitlist subscribers and registered users (you may unsubscribe at any time by replying to any email).
- Respond to support requests and improve our support processes.
- Monitor and analyse usage patterns to improve the Service.
- Detect, prevent, and address fraud, abuse, or security incidents.
- Comply with legal obligations.
3. Information Sharing
We do not sell your personal information. We share information only in the following circumstances:
- Service providers: Trusted third parties that perform services on our behalf (infrastructure, email delivery, payment processing, analytics), bound by confidentiality obligations.
- Within your workspace: Information is visible to authorised members of your workspace according to their assigned roles.
- Legal requirements: Where required by law, regulation, or valid legal process.
- Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to you.
- With your consent: For any other purpose with your explicit consent.
4. Data Retention
We retain your account and workspace data for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete your data within 30 days unless retention is required by law. Anonymised or aggregated data may be retained indefinitely for analytical purposes.
5. Security
We implement industry-standard technical and organisational measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No method of transmission over the Internet is 100% secure; we cannot guarantee absolute security.
6. Cookies and Local Storage
We do not use advertising cookies, tracking cookies, or analytics of any kind. Our public pages set no cookies and make no third-party requests before you interact with them; the typefaces they use are served from our own domain rather than fetched from a font provider as you browse.
When you sign in, the Service sets essential cookies that keep you signed in and identify your session. These are required for the Service to function and cannot be disabled while you are using it. They are not used to profile you or to track you across other websites.
Where we show a notice about this policy, your dismissal of that notice will be recorded in your browser’s local storage under a single key, so that we do not show it again. That value stays on your device and is never transmitted to us.
7. The Waitlist
Before launch you can ask to be told when Coligna opens. If you do, we record your email address, whether you asked to be considered as a beta design partner, and — only if you choose to give them — your name, your agency’s name, and your team size. We also record which form the request came from and the date you submitted it.
We use this to send you a confirmation, to notify our own team of the request, and to email you about early access. Both messages are delivered by Resend, our email provider. We do not store your IP address, browser details, or referring page with your request.
Ask us to remove you at any time by replying to any message you receive from us, or by writing to hello@coligna.com.
8. Third-Party Services
Our Service uses the following key third-party providers, each with their own privacy policies:
- Supabase — database and authentication infrastructure.
- Stripe — payment processing.
- Resend — transactional email delivery.
9. Your Rights
Depending on your location, you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us at hello@coligna.com. We will respond within 30 days.
10. Children’s Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated “Last updated” date and, where appropriate, by email. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
