From the brief a prospect submits to the margin you booked, every stage hands off to the next. No bolt-ons in between.

The problem

Your agency runs on five disconnected tools

A project board. A client portal. A time tracker. A signing app. A docs wiki. Each one does its job — and none of them knows what the others know. So your team becomes the integration layer: re-typing the estimate into the invoice, chasing approvals across inboxes, reconciling hours against a budget that lives somewhere else.

Where agency work lives, and what falls between
The project boardKnows the tasks, not what you quotedThe estimate never meets the delivery plan
The client portalKnows the approvals, not the work behind themSign-offs live apart from the deliverables they approve
The time trackerKnows the hours, not the budget they burnNobody sees margin until the project is over
The signing appKnows the yes, not what happens nextAn accepted proposal still has to be rebuilt as a project
The docs wikiKnows the decisions, not the project they belong toContext scatters the moment someone needs it

Coligna isn’t a sixth tool on the pile. It’s the whole lifecycle on one record — the brief, the estimate, the hours, the approvals, and the invoice all know about each other, and the handoff between stages is built in.

Client acceptance in Coligna records intent — it isn’t a legal e-signature. Formal signing ships after launch.

What makes Coligna different

01

Methodology aware delivery

Agile, waterfall, or hybrid phases with real gates and per deliverable client sign off. The phase cannot advance until the work behind it is approved.

  • Phase 3 of 4 · Client Review active
  • Budget, estimated hours, and cost on the same screen

Built in PMO governance

A risk register, issue log, change requests, and a decision log on every project. The controls usually locked inside enterprise tooling, at a small studio price.

  • Probability, impact, owner, and review date per risk
  • Mitigation and contingency plans recorded, not implied

AI assistance

An assistant that reads the project, not the internet

Ask it what the client needs to hear this week, and it answers from the phases, risks, and deliverables already on the record.

Current status. Phase 3 opened with no deliverables submitted. Client UAT is blocked by the ETL job failure, which is the high risk already on the register.

Commercial impact. A UAT slip pushes sign off past the go live date and eats into the fixed price margin.

Drawn from this project’s phases, risks, and estimate. Nothing is sent or approved on your behalf.

It drafts and summarises. It does not send anything, approve anything, or change your numbers. Proposal narrative is written from the estimate you built, never the other way round.

The platform

The whole operation, on one record

Nothing here is a separate subscription or a bolt-on integration. Every surface below reads and writes the same project.

01Win

  • Inbound briefs

One public capture link. Structured briefs land in a pipeline you triage.

  • Estimates

Roles, rates, and costs. Fixed price or time and material, with margin calculated as you build.

  • Proposals

AI drafts the narrative from your estimate. The client accepts at a secure link.

  • Brief templates

Seven structured discovery templates, from a general brief to a 35 field digital transformation scope.

02Deliver

  • Projects and phases

Agile, waterfall, or hybrid phases with enforced gates and per deliverable approval.

  • Client portal

Your branding, not ours. Clients approve deliverables and see progress without an invoice for a seat.

  • Team and hiring

Per member roles, rates, and availability, plus an apply to onboard pipeline for contractors.

  • Governance

Risk register, issue log, change requests, and a decision log on every project.

03Count it

  • Time tracking

Billable time with two-level approval, feeding straight into margin.

  • Invoicing

Payment schedules, line items, and AR aging against the same project record.

  • Contractor payouts

Payout periods and records for the people who did the work.

  • Reports

Margin, planned versus actual, utilisation, and the lead pipeline funnel.

Learning the platform

Nobody has to work out how it all fits together

A platform this wide is worth nothing if the team quietly carries on in the old tools. Coligna ships with its own curriculum: short written walkthroughs, split by what your seat actually does.

Questions

Before you sign up

Is pricing really flat rate, with no per seat charges?
Yes. Every Coligna plan is priced per workspace, not per person. Add as many team members as your plan allows without paying extra per head. The headcount limit is a workspace size bracket, not a billing variable.
What is included in the free Get Started plan?
One active project with up to three team members, a full client portal, brief capture, and the proposal builder. It is a real working environment rather than a time limited trial. Stay on it as long as you like and upgrade when you are ready.
Can I change plans at any time?
Yes. Upgrade at any time and the new rate is prorated immediately. Downgrades take effect at the end of your current billing period, so you keep full access until then.
Is there a free trial on the paid plans?
Get Started is free forever and gives you a genuine feel for the platform. Trials on paid plans are on the roadmap.
Does it really replace my project tool, client portal, time tracker, and proposal app?
That is the design goal. Briefs, estimates, proposals, delivery phases, time, invoicing, and reporting all run off the same project record, so there is no re-entering the same information in five places.
Do my clients need to pay for an account?
No. Clients are invited into the portal for their own projects at no cost, and the portal carries your agency branding rather than ours.
Can I use my own delivery methodology?
Agile, waterfall, and hybrid phase structures are supported on every paid plan. Fully custom phases and workflows are an Enterprise feature.
Does Coligna do legally binding e-signature?
Not yet. Proposal acceptance today is intent based and logged with a timestamp, so you have a record of who agreed and when. That is not the same as a legally binding signature. Formal signing ships post-launch.
What does the AI actually do?
It helps prospects articulate scope while they fill in a brief, and it drafts proposal narrative from an estimate you built. The numbers always come from your estimate, never from the model. It does not send anything or make decisions on your behalf.

Win the work. Deliver it.
Know what it made you.
